Why these emails matter

In B2B the person reading is rarely the person deciding. A manager reads it, their director decides, and between them sits an approval process that runs for weeks. That sets the main requirement for these emails: they must be forwardable without embarrassment. No «today only», no discounts — instead open pricing and material that stands on its own without the sender explaining it.

How to choose a template

Promoting services? The promo template lists engagement models with prices — letting someone estimate the budget before the call saves both sides three meetings. Received an enquiry? The welcome email promises a written reply rather than a phone call. Running a newsletter? The expert digest, with numbers instead of case studies about yourself. Three templates cover the deal cycle: stalled proposal, dormant contact, and closing documents per stage.

Tips

  • Publish prices, at least as a range. Withholding figures does not raise your chance of a meeting; it filters out people unwilling to spend time finding out.
  • Promise a written reply and keep the promise. A phone call mid-workday is an inconvenience, not a service level.
  • Write so the email can be forwarded to a director. It is a concrete test to reread your draft against.
  • In the stalled proposal email, do not push. Offer to take the task off your queue — it is more honest and often revives the conversation.
  • List the completed work in the closing documents. Finance will check it against the acceptance sheet, and it is better if everything matches first time.

Frequently asked questions

Are these templates free to use?

Yes. Open any template in the editor, replace the copy and images, then export the HTML or send it through your own provider.

Will the emails render correctly in Outlook?

Yes. The markup is table-based, with no flexbox or absolute positioning. For B2B this matters more than elsewhere: corporate audiences skew heavily towards Outlook.

Do these work for a freelancer rather than an agency?

Yes. Engagement models become your services and everything else works unchanged. A freelancer needs the closing documents email just as much.

How often should a cold list be emailed?

The digest once a month, no more. Proposal emails go out on a specific trigger, not on a schedule.
