Privacy Policy

Last updated: 01.08.2026

1. Introduction

1.1. This Privacy Policy explains how the Mailvex service ("Mailvex", "we", "us", available at https://mailvex.tech, the "Service") collects, uses, and protects the personal data of its users.

1.2. By creating an account or using the Service, you acknowledge that you have read and understood this Policy. If you do not agree with it, please do not use the Service.

1.3. This Policy applies to all information we may collect about you in connection with your use of the Service.

1.4. If you have any questions about this Policy or about how your data is handled, you can contact us at support@mailvex.tech.

2. Data We Collect

2.1. Information you provide when registering and using the Service:

— your email address;

— your name (if you choose to provide it);

— your password, stored only as a one-way cryptographic hash;

— a profile image (if you upload one).

2.2. Information collected automatically:

— your IP address;

— information about your browser, operating system, and device;

— the date and time of your visits, pages viewed, and actions taken within the interface;

— cookies and similar identifiers;

— the source that referred you to the Service, including marketing campaign parameters (UTM tags).

2.3. Billing-related information: details of your selected plan, the fact and amount of a payment, and your subscription status. We do not collect, process, or store full payment-card details — these are handled entirely by our payment provider.

2.4. Content you upload (email text, images, brand kits) is processed to provide the Service. We do not actively search such content for personal data.

3. How We Use Your Data

We use your data to:

3.1. register and identify you, and provide access to the Service's features;

3.2. perform our contract with you (as set out in our Terms of Service), including processing payments and providing the features of your plan;

3.3. send you service-related messages: email address confirmation, access recovery, payment notifications, and notices about changes to the Service;

3.4. provide user support;

3.5. keep the Service secure and prevent fraud and abuse;

3.6. analyse how the Service is used, on an aggregated statistical basis, in order to improve it;

3.7. send you informational or marketing messages — only where you have given separate consent, which you can withdraw at any time.

4. Legal Bases for Processing

Depending on the context, we rely on the following legal bases:

4.1. Performance of a contract — where processing is necessary to provide the Service you have signed up for;

4.2. Your consent — for optional processing such as marketing communications, which you can withdraw at any time;

4.3. Our legitimate interests — for example, keeping the Service secure, preventing fraud, and improving our features, provided these interests are not overridden by your rights;

4.4. Compliance with legal obligations — where we are required by applicable law to process or retain certain data (for example, records relating to payments).

5. How We Process Your Data

5.1. Processing may be carried out by automated and non-automated means, and includes collecting, recording, organising, storing, updating, using, transferring, restricting, deleting, and destroying data.

5.2. We do not make decisions that produce legal effects concerning you based solely on automated processing of your personal data.

6. Data Retention

6.1. We retain your personal data for as long as your account is active.

6.2. After you delete your account, your data is deleted or anonymised within 30 calendar days, except for information we are required to retain by applicable law (such as records of payments made).

6.3. You may request deletion of your data at any time by writing to support@mailvex.tech.

7. Sharing Data with Third Parties

7.1. We do not sell your personal data.

7.2. To provide the Service, we engage the following categories of processors:

— hosting and infrastructure providers that host the Service and its databases;

— a payment provider that processes payments and issues receipts;

— a transactional email delivery service;

— artificial-intelligence providers that process the content you submit for generation or analysis;

— web-analytics services.

7.3. Some of these processors may be located in other countries, which may involve the international transfer of data. Where this occurs, we take steps to ensure such transfers are carried out with appropriate safeguards.

7.4. We do not send AI providers information that identifies you personally (such as your email address, name, or account identifier). We recommend that you do not include third parties' personal data in the text of your requests to AI features.

7.5. We may disclose data to competent public authorities where required to do so under applicable law.

8. Cookies and Web Analytics

8.1. The Service uses cookies that are necessary for authentication and for saving your preferences, as well as analytics cookies.

8.2. We use web-analytics tools to understand how the Service is used.

8.3. Some analytics tools may record an anonymised sequence of interface actions in order to improve usability; input-field content is masked in such recordings.

8.4. You can disable cookies in your browser settings; if you do, certain features of the Service may not work correctly.

9. Your Rights

9.1. Subject to applicable law, you have the right to:

— obtain information about how your personal data is processed;

— request that inaccurate, incomplete, or outdated data be corrected;

— request that your data be deleted or its processing be restricted;

— withdraw your consent to processing;

— object to certain processing;

— request a copy of your data in a portable format;

— lodge a complaint with a competent data-protection authority.

9.2. To exercise these rights, write to support@mailvex.tech from the email address associated with your account. We will respond within a reasonable period and in any case within the time required by applicable law.

9.3. Withdrawing your consent may mean we can no longer provide the Service, in which case your account may be closed.

10. Data Security

10.1. We take legal, organisational, and technical measures to protect personal data against unauthorised access, destruction, alteration, copying, and disclosure.

10.2. These measures include: transmitting data over the secure HTTPS protocol, storing passwords only as one-way cryptographic hashes, access controls, and limiting the number of people who can access data.

10.3. In the event of a data breach, we will notify the competent authority and, where required, affected users, in accordance with applicable law.

11. Changes to This Policy

11.1. We may update this Policy from time to time. The updated version takes effect when published at https://mailvex.tech/privacy.

11.2. The current version is always available at that address.

11.3. Questions about the processing of personal data can be sent to support@mailvex.tech.
